45 minutes saved 10+ hours


I've been hemming and hawing for weeks now about giving my assistant the most tedious of tasks: downloading 263 video transcripts from my course platform so I could analyze all the questions, pain points, feedback, and wins from my Scale Society members and compare them to the content inside the program.

Saturday morning rolled around and I still hadn’t handed it off yet—I was stuck weighing whether it was worth tying up her talents with hover-click-download tedium.

She wouldn’t have minded—would’ve just tossed a show on the TV and worked away until it was done. But I knew there had to be a better way.

Plus, I kinda wanted the info now.

I didn’t want to hop in and do it myself or wait a few days for my assistant to slog through it; so in a moment of desperation (and brilliance), I asked, “Hey, ChatGPT—how do I automate this?”

Forty-five minutes and a few perfectly tuned prompts later, we had a solution I would never have thought of in a million years.

Ten minutes after that, ALL 263 transcripts were chilling in my Google Drive.

From there it was quick work to:

  • zip all the transcripts together into two files (content & training, and hot seat, Q&A, & 1:1 calls);
  • pull out every common question, stuck-point, and celebrated win;
  • compare member challenges to the content and draft a compelling benefit stack and USP—perfect for rewriting my sales page and copy;
  • Outline a quiz to guide members to the exact Scale Society resources they need to focus on first, for a quick win.

All of this— from initial question in ChatGPT to fully outlined quiz —took…🥁

65 minutes!

That’s hours (maybe days) of work, done.

Asking AI to help develop a solution to the issue and automating the repetitive work was like having a systems specialist AND a tireless intern at my fingertips.

Next time you’re faced with a mountain of tedious work, remember— a few strategic prompts can shrink days into minutes, freeing you up to focus more on the work you love to do.
